Trust
Trust & security
Families trust childcare providers with some of their most personal information, and providers trust WingBook™ to handle that information responsibly.
We built WingBook™ around a few simple principles: providers should remain in control of their records, people should only have access to the information they need, children's information deserves additional care, and technology should support good decisions rather than make them for you.
We also believe trust requires transparency. That means being clear about how data is used, where AI fits into our products, which companies help us provide WingBook™, how we protect access, and what happens to information when a provider leaves the platform.
As WingBook™ grows, our privacy and security practices will grow with it. We would rather clearly explain the protections we have today than make promises or claim certifications we have not earned.
The principles behind WingBook™
- 01
Your records remain your records
Childcare providers retain their rights in the identifiable information they put into WingBook™. We use that information to provide, support, secure, and responsibly improve the platform.
- 02
Children's information gets extra care
WingBook™ does not sell children's personal information or use identifiable child health, developmental, or classroom records for advertising or retargeting.
- 03
Access should match responsibility
Different people need access to different information. WingBook™ uses role-based permissions so providers can decide what administrators, staff, teachers, and families are allowed to see and do.
- 04
We improve WingBook responsibly
Information can help us understand what works and build better products. Wherever reasonably practical, we use de-identified, aggregated, or minimized information for analytics, research, and product improvement rather than identifiable family or child records.
- 05
AI assists. People decide.
AI can help organize records, review documents, summarize information, and reduce administrative work. It can also make mistakes. Providers remain responsible for decisions involving children, health, licensing, and their programs.
- 06
We believe in clear promises
We explain the protections WingBook™ actually provides today and update our practices as the platform grows. We do not claim certifications, guarantees, or security capabilities we have not earned or implemented.
Account security
WingBook™ uses a dedicated identity and authentication provider to securely manage account sign-in. Password credentials are not stored directly by the WingBook™ application.
Access by role
Not everyone in a childcare program needs access to the same information. WingBook™ enforces permissions on our servers based on each user's role, helping providers control what administrators, staff, teachers, and families can see and change.
Data protection
WingBook™ uses encrypted connections, infrastructure security controls, authentication, role-based permissions, audit logging for supported activities, and other safeguards designed to protect the information entrusted to the platform.
WingBook™ currently uses Replit for application and infrastructure services and Clerk for authentication.
No online system can guarantee perfect security, so our goal is to continuously improve our safeguards as WingBook™ grows.
Payments
WingBook™ uses Stripe to process subscription payments. WingBook™ does not directly store complete credit card or bank account numbers.
AI & automation
WingBook™ uses AI to reduce repetitive administrative work, not to replace professional judgment.
AI-assisted features may help read documents, extract information, review immunization records, summarize information, support mock inspections, assist with observations and progress reports, and improve administrative workflows.
AI can make mistakes. Providers remain responsible for reviewing results and making decisions involving children, health, licensing, compliance, and their programs.
WingBook™ currently uses OpenAI APIs for certain AI-assisted features. Customer Data is not opted into training of OpenAI's general-purpose models.
Your data when you leave
WingBook™ is not intended to become a permanent archive after a provider leaves the platform.
Providers can request an export of their information. Unless another arrangement applies, providers generally have up to 60 days after their subscription ends to request an export.
After the applicable export period, remaining identifiable Customer Data may be deleted or de-identified, subject to legal, contractual, and technical requirements.
De-identified or aggregated information may be retained for analytics, research, benchmarking, and product improvement.
Our service providers
WingBook™ relies on a small number of specialized technology providers to operate the platform.
Replit
Application hosting, infrastructure, database and technical operations.
Clerk
Authentication and account identity management.
Stripe
Subscription billing and payment processing.
OpenAI
AI-assisted processing for enabled WingBook™ features.
HubSpot
Customer relationship management, sales, support administration, and business communications.
Google Calendar
Optional user-connected calendar integration.
Not every provider receives every type of information. WingBook™ seeks to limit the information shared with each service provider to what is reasonably necessary for that provider's function.
Reporting a concern
